Privacy Policy

Blitzen Rudolph Ltd (company number 14874446), trading as Cab Exchange, is responsible for the personal information described in this notice. This policy explains what we collect, why we use it, who may see it and the choices available to you.

1. Information we collect

For operators this may include account/contact details, company or trading information, operator licence number, logo, operating address, jobs, quotes, allocations, payments, feedback and audit activity.

For drivers this may include name, contact details, profile photograph, driving licence information, PHV driver licence number and copies, V5C, MOT, PHV vehicle licence, Hire & Reward insurance, vehicle registration/make/model/photos, document expiry dates, jobs, quotes, earnings/payment records, feedback, notification subscriptions and audit activity.

We also process technical and security information such as authentication records, device/browser information and service logs, and analytics/cookie information where applicable.

2. Why we use information

We use information to create and secure accounts; operate the work exchange; enable operators to assess potential suppliers; manage quotes, allocations, completion, payments and reputation; warn about expiring documents and restrict quoting where required; provide reports and notifications; prevent abuse and fraud; support users; administer membership and any future optional paid services; comply with legal obligations; and improve and secure the service.

3. Lawful bases

Depending on the activity, we rely on performance of our contract with you, legitimate interests in operating and protecting a B2B marketplace, compliance with legal obligations, and consent where consent is required (for example for certain optional marketing or storage/access technologies). We do not bundle optional marketing consent into acceptance of the Terms.

4. Marketplace directories and driver documents

Approved members may see limited directory information about other approved members, such as trading/display name, relevant licence number, vehicle summary, profile image/logo, feedback scores, comments and late-payment reports where applicable. Contact details, operating addresses and driver compliance-document copies are not intended to be exposed through the general member directories.

Driver compliance documents are not intended to be public or search-indexed. They may be made available to authenticated eligible operators where reasonably necessary to assess a driver for work, and to authorised Cab Exchange administrators for operation, support, security and compliance administration. Operators receiving documents must use them only for legitimate engagement/compliance purposes and protect them appropriately.

We also store member blacklist relationships so the platform can restrict live-job visibility and bidding between members who have chosen not to work together.

5. Other sharing

We may share information with service providers that host, authenticate, store, notify, email, analyse or otherwise support the platform; professional advisers; regulators, courts or law-enforcement bodies where required or justified; and a purchaser or successor in connection with a genuine business sale or reorganisation, subject to appropriate safeguards. We do not sell members' personal information to advertisers.

6. Retention

We keep information only for as long as reasonably necessary for the purpose collected, legal/regulatory obligations, security, dispute handling and legitimate business records. Account closure does not necessarily require immediate deletion of completed-job, payment, feedback or audit records. Before public launch we will maintain and periodically review a documented retention schedule for identity/compliance documents, account records, job records and security logs.

7. Document expiry and automated rules

The platform may automatically compare a driver-supplied document expiry date with the current date. It may generate dashboard/push warnings and automatically restrict the ability to quote for or accept new work when a required document expires. This does not prevent access to historical work, earnings and outstanding-payment information. A replacement document and/or administrative review may be required to restore quoting.

8. International processing

Some technology suppliers may process information outside the UK. Where this occurs, we will use an appropriate lawful transfer mechanism where required and provide further information on request.

9. Security

We use technical and organisational measures designed to protect personal information, including authenticated access and restricted document visibility. No online service can guarantee absolute security. Members must protect their login credentials and report suspected unauthorised access promptly.

10. Your rights

Depending on the circumstances and lawful basis, UK data-protection law may give you rights of access, rectification, erasure, restriction, objection and data portability, and rights relating to consent and certain automated decisions. You may also complain to the Information Commissioner's Office. Some rights are subject to legal exceptions.

11. Marketing and notifications

Operational messages about jobs, account security, document expiry, allocations and payments may be necessary to provide the service. Optional direct marketing will be handled separately where consent or another lawful basis is required. Browser push permissions can be controlled through your browser/device settings.

12. Cookies and analytics

See our Cookie Policy. Where consent is legally required for non-essential storage/access technologies, we will request it separately rather than treating acceptance of these Terms as consent.

13. Changes and contact

We will update this notice when our processing changes and bring material new uses to members' attention. Cab Exchange contact details will be displayed on the platform before public launch. Data-protection requests may be made through the platform's published contact channel.

Payment and invoice information

Drivers may store bank account details, invoice addresses and VAT information so Cab Exchange can generate invoices for completed work. These details are not shown in the public/member directories. They are disclosed to the operator receiving an invoice for work completed by that driver and are retained with the transaction record as reasonably required for accounting, dispute and legal purposes.
